Most contractors will tell you their floors look good at handoff. That is not what this post is about. This post is about what happens on Day 31, Day 90, and the day the warranty call comes in — and whether the GC or property manager who hired us feels like they made the right call. Five commitments, all of them written into the closeout package we hand you. No fine print, no “industry standard” escape hatches.
- 48-hour bid turnaround. From the moment you send floor plans and scope, you have a real number in two business days. Not a range, not “we are still working on it” — a fixed or range estimate with the assumptions called out.
- Finish-spec in writing, before mobilization. Substrate prep profile, mil thickness, gloss target, cove radius, and tolerance for variation are all on a single sheet, signed by both parties, before a single truck rolls.
- Gloss and mil readings at closeout. On polished concrete, we pull gloss-meter readings at the spec’d 60° angle at hand-off and put them on the closeout doc. On resinous systems, we document wet and dry film thickness per zone and per coat. You do not have to take our word for the system that went down — the readings sit next to the warranty.
- Written warranty, named coverage items. Five-year adhesion and wear layer on epoxy and urethane systems. Three-year on polished concrete sealer integrity. Named exclusions are listed on the same page — nothing buried in a sub-clause.
- No punch-list handoff without a documented cure window. Every punch item gets a written cure plan and a re-inspection date. If we are not done, the job is not closed.
What “accountability on a finished surface” actually means
A lot of contractors will say they stand behind their work. The practical test is simpler: what written record do you have the day the project closes? If the answer is just the invoice, you do not have accountability — you have a handshake.
Accountability on a finished surface is three things, all of them paper:
Measured, not estimated. The system that went down was specified in mils and gloss units before mobilization. The system that is on your floor at close is documented with readings taken at the actual project, in the actual zones. If the readings are off-spec by more than the agreed tolerance, we recoat at our cost before we ask for final payment.
Photographed and zoned. Every zone of the floor has a dated photo set, an inspector’s initials, and the corresponding reading. When the property manager pulls the closeout binder in Year 3 for a re-coat decision, that binder tells them what is actually on the slab.
Repairable, not replaceable. A warranty that requires the GC to tear out a 40,000 sq ft floor and start over because of a 200 sq ft failure is not a real warranty. We commit to spot-repair protocols — system, product, prep method, and expected service life for the repair — right on the warranty page.
Three jobs where this mattered
1. The 85,000 sq ft Atlanta distribution warehouse (urethane mortar + food-grade topcoat)
A regional food-grade 3PL was on a nine-day shutdown window before peak receiving season. Their USDA audit was six weeks out. The previous floor — a standard epoxy — had failed inspection twice because the sealer was leaching into the cleaning chemistry. We came in, mechanically abraded the full 85,000 sq ft to CSP 4, laid a urethane mortar base at 1/4” (rated for thermal cycling and forklift abuse), broadcast anti-slip aggregate in the dock lanes, and finished with a food-grade polyaspartic topcoat. The closeout binder read out zonal mil thickness across all four install weekends, a USDA-spec cleaning chemistry compatibility sheet, and a five-year adhesion and wear-layer warranty. 2. The Buckhead 12-storefront retail repaint (Sherwin-Williams Loxon XP elastomeric)
Twelve occupied storefronts, nine calendar days, zero tenant downtime. The catch: every tenant had signage and lease language that meant their store had to be open during normal retail hours. Our scissor-lift schedule was sequenced every morning with the property manager and every storefront owner, with a written daily start/stop window per unit. The elastomeric system was specified for 10-year colorfastness and crack-bridging up to 1/8” — the manufacturer’s published number, not the rep’s promise. At handoff, we delivered adhesion pull-tests on the stucco substrate and a five-year labor-and-material warranty on the coating system itself. Property manager got zero complaints. 3. The Birmingham Class A office tower — 32,000 sq ft VCT, night-shift install, tenant occupied
A Class A office tower, 14 calendar days, every square foot occupied. The building manager had three constraints: zero tenant displacement, no noise during business hours, and a final finish that matched the existing Class A spec. We ran demo and replace in night shifts only — 6pm to 6am — with the new VCT installed, adhesive cured, and the surface buffed to gloss spec before any tenant arrived the next morning. The closeout had per-wing installation dates, sheen readings matched against the original spec, and a Mildew Duranite strip-and-wax schedule on a 12-month cadence for warranty continuity. Why this matters for the GC and property manager reader
